Privacy Policy

Last updated: 7 October 2026

This page explains what personal information we collect when you use levelasolutions.co.uk, why we collect it, who we share it with, and what your rights are. We’ve written it in plain English. If anything isn’t clear, just ask.

Who we are

Levela Solutions is a web design and digital services studio based in Cheltenham, UK. We are responsible for the personal information collected through this website.

What we collect and why

When you contact us

If you use our contact form, we collect your name, email address, and anything you tell us in your message. We use this only to reply to you and, if you go ahead, to provide our services. Our contact form uses Google reCAPTCHA to block spam, which shares information such as your IP address and browser details with Google.

When you book a call

Our booking calendar is provided by Google Calendar. When you book, Google collects your name, email address and chosen time, and sends both of us the meeting details, including a Google Meet link.

When you use our chat assistant

Our website chat assistant, Lev, is an AI assistant, not a person. Messages you type into the chat are processed by Microsoft Azure so Lev can reply. Please don’t share sensitive personal information in the chat.

Chats are held temporarily so Lev can reply. They’re cleared from our server within a few hours, and Microsoft keeps them for no more than 30 days. If you choose “Talk to Ben” or leave your details, a copy of the conversation is emailed to us along with your name, email address and phone number. We treat that as an enquiry and keep it as described below.

Website statistics

If you accept statistics cookies, we use Google Analytics to understand how people use our site, such as which pages are visited and how people found us. This helps us improve the site. We don’t use it to identify you personally, and it only runs if you agree.

Cookies

We only set non-essential cookies if you agree to them. You can see the details in our Cookie Policy and change your choice at any time using Cookie Settings.

Our legal reasons for using your information

We use your information because you have asked us to (for example, replying to your enquiry or booking a call), because it’s needed to provide services you’ve agreed to, because we have a legitimate interest in running and protecting our website, or because you’ve given consent (for statistics cookies). You can withdraw consent at any time.

Who we share it with

We never sell your information. We only share it with the services that help us run this website:

  • Google: reCAPTCHA, the booking calendar, Google Analytics (only with your consent) and email.
  • Microsoft Azure: powers our chat assistant.
  • IONOS: hosts our website and servers.

Some of these companies may process information outside the UK, including in the United States. Where that happens, they use legal safeguards recognised under UK data protection law.

How long we keep it

  • Enquiries (including chat transcripts sent to us) that don’t lead to work: up to 2 years from our last contact.
  • Client records: up to 6 years after our work ends, as required for tax and accounting.
  • Chat conversations where you don’t leave your details: up to 30 days.
  • Analytics data: up to 14 months.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that’s wrong
  • ask us to delete your information
  • object to, or ask us to limit, how we use it
  • ask for your information in a format you can take elsewhere
  • withdraw your consent at any time

To do any of this, email contact@levelasolutions.co.uk. We’ll reply within one month.

Complaints

If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

We’ll update this page if anything changes. The date at the top shows when it was last updated.
